In large-format printing, correct file preparation is essential for efficient production and a predictable final result. When submitted files do not meet the required technical and quality standards, this often leads to additional checks, extra communication with customers and correction work that is rarely charged for. It also increases the risk of errors, quality issues and disappointment afterwards.

To support the industry in this area, Fespa Belgium, in collaboration with VIGC, has developed practical guidelines for submitting large-format print files. During this presentation, we will take a closer look at the key technical specifications, recommended resolutions, suitable colour settings and file formats. We will also discuss how to correctly handle bleed, scale and safe zones, how to efficiently organise preflight checks, proofing and colour management, and how to clearly communicate these requirements via your website, quotations and emails.

In addition to these guidelines, we will also share practical experiences from three companies within the Bevizion Group. We will show how we currently deal with incoming files, the challenges we encounter and the processes and checks we have introduced to ensure that as many files as possible are supplied correctly from the outset. Both successes and lessons learned will be highlighted, ensuring that the presentation not only provides theoretical insights but also offers directly applicable examples from everyday practice.

This presentation combines industry-specific guidelines with practical experience from three production companies that deal with the challenges of file submission for large-format printing on a daily basis.
